Preparing for 2026: Updates on Scheduling, Insurance, and Our Cancellation Policy

As 2025 draws to a close, we want to share a few important updates and look ahead to the new year. Thank you for being a valued part of the Dryad Counseling community. Your commitment to your mental health journey is what makes our work possible!

Schedule and Availability Updates

We will continue using dynamic scheduling to find times that work best for you and the provider.

Sessions will be available primarily in the evenings (Monday through Friday) with limited daytime availability.

We will continue to adjust our schedule and notify you of any necessary changes as soon as possible.

Important Financial & Insurance Changes

As we head into January, we would like to remind you that deductibles reset and insurance plans may undergo changes.

  1. Insurance Verification: Deductibles and Plans: We will verify benefits and inform you of your estimated cost per session.

  2. If your plan or employer changes in January, please update your insurance card information within your Headway portal or email us clear images of your new card as soon as possible.

  3. Dryad Counseling is no longer credentialed with Ohio Medicaid. If your plan has transitioned to one under the Ohio Medicaid umbrella, you will not be able to continue services with us. Please let us know so we can assist you with transitioning to a new provider.

  4. To honor our commitment to access to care, Dryad Counseling reserves a limited number of spots for clients experiencing financial hardship. If you are experiencing genuine financial difficulty and need support, please reach out to discuss the options for our Reduced Rate Agreement.

Key Policy Update: Late Cancellations & No Shows

To maintain fairness to all clients and optimize our limited schedule, we have simplified our late cancellation policy. We appreciate your understanding of this updated boundary.

We have eliminated the one-hour notification requirement. The only factor determining a late cancellation fee is the start time of your session.

Late Cancellation Fee: The fee is now charged only if you inform DC of a cancellation after your session start time has begun. For example, if your session is scheduled for 7:00 pm and you cancel at 6:55 pm, you will not incur a charge. If you cancel at 7:05 pm, you will be charged $50.00 to the card on file.

No-Show Fee: If you do not join the telehealth session and have not informed me of a delay by 15 minutes after the session's start time, you will be charged the full $50.00 late cancellation fee, regardless of the reason.

Waiver Limit: Waivers of the fee are granted at the discretion of DC and are limited to once per 12-month period.

Mandatory Intake Form Update

To ensure we are compliant with policy changes (including the new cancellation fee and AI disclosure) and have your most accurate information, all active or returning clients must complete a new intake form. Please access the form from your email and complete it by January 31.
